Deadline for submission of the dissertation
- The dissertation should generally be submitted after four years.
- The exact submission deadline will be communicated to the doctoral candidate in writing.
- The documents must be submitted to the Dean's Office (Doctoral Office) by the last day of the deadline at the latest. If this day falls on a public holiday or weekend, the following working day shall be considered the deadline.
The submission options at the Dean's Office (Doctoral Office) must be observed (see Submission of the dissertation)!

Extension of the submission deadline
- Applications for extension of the doctoral project must be submitted in good time – at least one week before the submission deadline – by email to the Dean's Office (Doctoral Office).
- Only complete applications will be accepted!

Formal requirements:
- The format templates for the respective cover page must be used without any changes to the font size and line spacing. Furthermore, no text may be added or removed. The word “Betreuer” (male supervisor) should be changed to ‘female supervisor’ or ‘femal supervisors’ (German: ‘Betreuerin’ or ‘Betreuerinnen’) if necessary.
Please note:
The cover sheet is the first page.
It is not permitted to use the university seal. - The form: Declaration in accordance to § 8 (1) c) and (d) of the doctoral degree regulation of the Faculty must be included in the dissertation and listed in the table of contents with the wording Declaration in accordance to § 8 (1) c) and (d) of the doctoral degree regulation of the Faculty or (if the dissertation is written in German) Erklärung gemäß § 8 Abs. (1) c) und d) der Promotionsordnung aufgeführt werden.
- For publication-based dissertations, a list of the submitted scientific publications must be compiled. This must be included in the dissertation and listed in the table of contents.

Preparing your submission:

gerontology, psychology, and sports science: Please contact Ms. Flämig (dekanat@verkult.uni-heidelberg.de) by email well in advance of your submission/deadline and proceed as follows- Publication-based dissertation:
1. Email Ms. Flämig directly with the required list of submitted scientific publications (ONLY the list!) that must be included in the publication-based dissertation as an attachment.
2. The doctoral committee will review the list and you will then be informed by email whether the list is in order or whether anything else is required and whether you may submit the publication-based dissertation. Please wait for this confirmation. - Scientific thesis (dissertation):
1. Inform Ms. Flämig that you are writing a scientific paper (dissertation).
2. We will then inform you whether anything else is required or whether you can submit it as it is. You will have to wait for this information.
Subjects Diaconal Studies and Social Ethics (Faculty of Theology):
Please contact Prof. Eurich by email well in advance of submitting/handing in your thesis and proceed as follows:- Publication-based dissertation:

Submission and application for admission to the examination

Step 1:
- Once you have received permission to submit your thesis from the Dean's Office (Doctoral Office), the first step is to submit it electronically.
- The six documents must be numbered (1 to 6) and submitted as PDF files via a download link (preferably via heiBOX).

Documents to be submitted by mail:
1. Three bound copies of the dissertation
2. Dissertation in PDF format; to be submitted on an electronic data carrier (USB stick) - Please note that the postal submission of documents (three bound copies of the dissertation, dissertation in PDF format; to be submitted in the form of an electronic data carrier (USB stick)) is a MUST.
- A decision on the application will usually be made within four weeks. The Dean's Office (Doctoral Office) will then inform the doctoral candidates by email.
Important note: Once admitted to the examination procedure, it is no longer possible for the doctoral candidate to discontinue their doctoral studies or withdraw their application for admission to the doctoral examination procedure.
Reviewers
- The supervisor informs the Dean's Office (Doctoral Office) of the proposed reviewers. The supervisor informs the Dean's Office (Doctoral Office) of the proposed reviewers. Please also indicate who will be proposed as the first and second reviewers. The proposed reviewers must agree to the nomination. In addition, the exact addresses (including email addresses) must be provided, and if travel expenses are incurred, please also indicate who will cover the travel expenses for the defense. As a rule, the faculty cannot cover travel expenses. The notification regarding travel expenses must be made before the reviewers are appointed.
Note: Supervisors are not automatically reviewers. - The supervisor may submit this notification before the dissertation is submitted. If the Dean's Office (Doctoral Office) has not received notification by the time the dissertation is submitted, it will write to the advisor and ask them to provide a name.
- One of the reviewers should be an active university lecturer, private lecturer, or junior research group leader at the faculty (with the right to award doctorates granted by the faculty). At least half of all reviewers must be university lecturers, discharged or retired university lecturers, private lecturers, or junior research group leaders (with doctoral rights granted by the faculty) of the faculty. In the case of publication-based dissertations, a maximum of one reviewer may also be a co-author of the publications relevant to the doctorate.
- The doctoral committee usually appoints the reviewers within four weeks.
- The reviews should be submitted to the dean's office (doctoral office) no later than three months after the reviewers have been appointed.
Auslage (Circulation of the dissertations and the evaluations)
- The two-week access period in the Dean's Office begins after the evaluations have been received.
- The doctoral candidate will be informed in writing (by email) by the Dean's Office (Doctoral Office) about the two-week display period.
Defence: Procedure und notification to the Dean's Office (Doctoral Office) - Exam topics
- Please note:
The Dean's Office (Doctoral Office) cannot confirm a date for the defense until admission to the examination procedure, receipt of all expert opinions, and expiry of the display period.
Schedules can be arranged with the Dean's Office (Doctoral Office). However, deadlines must of course be observed! The advisor should contact the Dean's Office (Doctoral Office) at an early stage. -
Disputation: Procedure and notification to the Dean's Office (Doctoral Office)

The supervisor (who must be a member of this faculty) shall notify the Dean's Office (Doctoral Office) of the following in good time:
- Proposed composition of the examination board
The reviewers, two university lecturers, private lecturers, or junior research group leaders (with doctoral rights granted by the faculty) from the participating faculties; as a substitute, a university lecturer, private lecturer, or junior research group leader (with doctoral rights granted by the faculty) from the participating faculties.
It should be noted that one member of the examination board should be from outside the subject area AND that at least one member of the examination board must come from the institute where the relevant doctoral subject is based (mandatory rule). - Date of defense

- Location/room (Heidelberg University premises)
- Full in-person exam (A) or hybrid format (B) or (C)

The chair of the examination board is responsible for the technical aspects. All members of the examination board and the doctoral candidate must agree to this format. The dean's office (doctoral office) will obtain personal consent by email.

- The doctoral committee appoints the examination board within three weeks of the expiry of the display period and receipt of all reports.
- The Dean's Office (Doctoral Office) invites the doctoral candidate and the members of the examination board (after appointment/approval by the Doctoral Committee) provided that everything has been submitted correctly and on time.

Exam topics
- The three topics chosen for the doctoral thesis must be submitted to the Dean's Office (Doctoral Office) by email in ONE PDF file in the form of a short abstract (one page per topic, including references). The doctoral candidate is responsible for this and must do so at least two weeks before the defense. Please note that the topics must be agreed upon with the supervisor.
