After the disputation
After the disputation - once the examination documents have been received by the Dean's Office (Doctoral Office) - the doctoral candidate will be informed of the next steps by email. Please wait for this step in the process! If there are any requirements that the doctoral candidate must fulfill for publication, you will also be informed of this by email from the Dean's Office (Doctoral Office). Please wait for this as well!

Publication
According to § 19 of the doctoral degree regulations, the dissertation must be published no later than two years after the doctorate has been awarded. The Dean's Office (Doctoral Office) will inform you in writing about this two-year deadline. If the dissertation is not published on time, all rights acquired through the doctorate will expire.
In special cases, the deadline may be extended upon timely and justified request (e-mail) from the doctoral candidate to the Dean's Office (Doctoral Office). The decision on this is made by the Doctoral Committee. The doctoral candidate will be notified of the decision by e-mail.

Doctoral degree certificate
After the dissertation has been published in a timely manner and the required copies have been submitted, the doctoral degree certificate will be awarded. With the awarding of the doctoral degree certificate, the degree of Doctor of Philosophy (Dr. phil.) is conferred.
Please note: The right to use the title of doctor (Dr. phil.) is only acquired upon receipt of the doctoral degree certificate.
The Faculty of Behavioural and Cultural Studies at Heidelberg University does not permit the use of the title “Dr. des.” prior to publication.
We expressly point out that you may not use the title Dr. phil. – without it having been awarded to you personally – either here or abroad, as this constitutes misuse of a title (§ 132a StGB). As a general rule, titles may only be used in the form in which they were awarded and can be verified by certificate; there are no “translations” here. Our faculty awards “only” the title Dr. phil. The title PhD is not awarded at our faculty.

The electronic copy must be uploaded according to the standards of Heidelberg University Library. Furthermore the one deposit copy of the dissertation must be submitted in the Heidelberg University Library, Dissertationsstelle (Dissertation Office).

  2. Please inform after the publication the Dean´s Office (Doctoral Office) by e-mail. Please note: The Dean's Office (Doctoral Office) will NOT automatically informed!

  4. If all processes have been carried out correctly, the Dean's Office (Doctoral Office) will contact you by e-mail regarding the handing over of the doctoral degree certificate.

(B) Publication can take the form of printing in a series or as a self-contained book in a publishing house

  • Minimum circulation:
    A minimum circulation of 150 copies must be guaranteed. A lower minimum circulation is acceptable if the publisher fulfils further orders using print-on-demand technology. The Dean's Ooffice (Doctoral office) must be notified in writing by the publisher of the minimum circulation. This can also be done by email.
  • Note:
    The book must contain a note stating that it is a Heidelberg dissertation. An excerpt of this note must be sent to the Dean's Office (Doctoral Office) by email.
    • Zugl.: Dissertation, Heidelberg University, Faculty of Behavioural and Cultural Studies, Year ....
      Note: The year of the disputation must be specified for the year.
    • If the title is changed, this note must be added to the accepted title:
      Zugl.: This publication was accepted as a dissertation in the year ..... under the title „...." in the subject .... at the Faculty of Behavioural and Cultural Studies of Heidelberg University.
      Note: The year of the disputation must be specified for the year.

Information: Publication publication-based dissertation

(A)  Through electronic publication in open access on the university repository operated by the university library / Heidelberger Dokumentenserver HeiDOK

  1. The copyright/consent of the publisher to publish the dissertation on the university library server must be obtained for ALL publications. Likewise, informal consent to publication on HeiDOK must be obtained from all co-authors involved. This is the responsibility of the doctoral candidate.
  2. The existence of all necessary commitments is confirmed by signing the “Declaration” provided by the University Library on its website as part of the dissertation publication process.
  3. We recommend that you retain the copyrights received from the publishers and the informal declaration of consent from the co-authors for ten years.
  4. The entire dissertation, i.e., the main body and all writings included in the dissertation, must then be uploaded to HeiDok.
  5. The printed and electronic versions must be identical in form and content; both versions must therefore contain the cover section and all texts.

Graduation Ceremony

The Faculty of Behavioural and Cultural Studies honors annually - along with the Faculty of Philosophy and the Faculty of Modern Languages - all young scientists and young researchers who have successfully completed their doctoral studies. In the context of the celebration all completed theses are named. Depending on the status of your procedure, a pre-certification or a copy of your doctoral degree certificate will be again symbolically handed over. The young scientists and young researchers who have successfully completed their doctoral studies, are personally invited to the garduation ceremony.
